Helpful hints for creating an invoice

We need you to send an invoice so that Cultural Perspectives or CIRCA can pay you for the work you have done.

We will email you all the information you need to include in your invoice. You will receive this information in the email or within a payment summary document.

Remember that the total on your invoice is the before-tax amount. Tax will be taken from the total in your invoice.

What information should you include in your invoice?

  1. The word ‘Invoice’ as the title of the document.
  2. Your full name and address.
  3. Our name and address – this information will be in the email or within the payment summary document we send you.
  4. The current date.
  5. An invoice number – this can be:
    1. any number you would like
    2. or

    3. the agreement or project number we include in the email or payment summary document we send you.
  6. A table with 4 columns. The table should list each item in a different row:
    1. Description – this information will be in the email we send you or within the payment summary.
    2. Quantity – this information will be in the email we send you or within the payment summary.
    3. Unit cost – this information will be in the email we send you or within the payment summary.
    4. Total – this information will be in the email we send you or within the payment summary.
  7. Total amount – this is the total amount of money we need to pay you before tax is taken out.
  8. Payment details – add your bank details to the bottom of the invoice.

We will send you an example of an invoice to help you create your own.

Important things to remember

  • You can search the internet to find free invoice templates. Download one and edit it with the information included in the email or payment summary document we send you.
  • You have given us your tax file number (TFN). This means we will not itemise tax in the email or payment summary we send you. This also means you do not need to include tax in your invoice. Our bookkeepers will calculate the tax and superannuation information when they process the payment.
  • Please ask your Cultural Perspectives or CIRCA contact if you need any help.
